AI for Treuhand and accounting firms

A fiduciary office spends a large part of the year collecting, sorting and retyping. That is exactly the work AI handles well, as long as a qualified person still owns the numbers and the client relationship.

The work between the client and the ledger

  • Collecting documents. Asking clients for receipts, statements and tax papers, then asking again.
  • Sorting and retyping. Invoices, receipts and statements arriving as PDFs, photos and email attachments, keyed into the accounting system by hand.
  • Routine client questions. "Where is my return?", "Can I deduct this?", "What do you still need from me?"
  • Deadlines. VAT periods, tax returns, payroll changes and year-end, tracked in spreadsheets and heads.
  • Internal know-how. Juniors asking seniors where the checklist, template or last year's working papers are.
  • Recurring reports for clients and partners, assembled by hand each month or quarter.

Workflows that suit a fiduciary office

  • Document requests and reminders. A checklist per client, a polite request, and automatic follow-ups for what is still missing, drafted in your tone.
  • Document intake and extraction. Invoices and receipts are read, the key fields are extracted and prepared in your accounting software's import format, with anything uncertain flagged for a person.
  • Client email triage. Questions are sorted by client and topic, routine answers drafted for review, and anything needing a specialist routed to them. How AI email triage works.
  • Deadline reminders. One view of what is due for which client, with nudges to the right person before it is urgent.
  • Internal knowledge assistant. Staff ask where the checklist or template is and get the answer from your own documents, with a link.
  • Recurring reports assembled from the systems you already use, ready for a partner to check.

Client financial data and the nFADP

Fiduciaries hold some of the most sensitive data a client has: income, assets, salaries and tax positions. The revised Federal Act on Data Protection applies directly to AI-supported processing. [FDPIC] An AI service working on client data is a processor, permitted by contract only where no duty of confidentiality prohibits it and once you are satisfied it can guarantee data security. [Art. 9 FADP]

So the setup matters more than the tool: a business service under contract, documents only where they need to be, access by client team, and a person checking every figure that leaves the office.

It is also worth knowing what your association offers. In December 2025 TREUHAND|SUISSE launched TreuhandGPT with the Zürich company Connect AI, giving more than 2,000 member offices access to an AI platform run on Swiss infrastructure. [Organisator] If you are a member, the audit will look at what it already covers before recommending anything else. Buying first is usually cheaper than building.

From first call to a workflow your team runs

01

Discovery call

We talk through your firm, the bottlenecks, the tools you use and the people who will use whatever we build.

02

AI opportunity map

What can be automated, what should not be, the expected return and the quick wins, written down.

03

Build and test

The workflow or tool is built on your real processes and tested with your team's feedback.

04

Deploy and train

It goes live with your team, documented in plain English, with support while people adopt it.

For a fiduciary office, I time the work around your busy periods. The audit is best done outside the tax-return peak, so the first workflow is live before the next one.

Most firms start with the AI Opportunity Audit (CHF 750 to 1,500, one to two weeks). A first automated workflow starts from CHF 1,500 and a custom tool from CHF 5,000. Every price is fixed before work starts. See pricing.

Common questions

Which admin tasks can AI automate in a fiduciary office?

Requesting and chasing client documents, extracting data from invoices and receipts, sorting client email and drafting routine replies, deadline reminders, internal knowledge search and recurring reports. A qualified person still owns the figures and the advice.

Does it replace our accounting software?

No. Workflows feed your existing software, usually through its import format, so your bookkeeping stays where it is.

Is it safe to put client financial data into AI?

With a business service under contract, the minimum data each step needs, access by client team and human review, yes. With personal accounts, no.

Should we use TreuhandGPT or build our own?

If you are a TREUHAND|SUISSE member, evaluate what it covers first. Custom workflows make sense for the steps it does not handle, such as connecting your own inbox, templates and systems.
